Once your FYI integration is connected, you can send documents to Annature for signing directly from FYI. Recipient details flow through automatically, and signed documents file back to FYI when complete.
Make sure your FYI account is connected to Annature. If you haven't done this yet, see Connecting to FYI.
The document you want to send should already exist against a client in FYI, with the client's contact details (name, email, mobile) recorded on their FYI client record.
In FYI, locate the document (or documents) you want to send for signing.
Select the document, then choose Send to Annature from the available actions.
Confirm the recipient — FYI will pre-fill the recipient details from the client record on the document.
FYI will push the document and recipient details across to Annature, and open the envelope in a new tab ready for you to prepare.
Once the envelope is open in Annature, you can:
Add fields — place signature fields, date fields, text fields, checkboxes, or any other fields onto the document. See Document fields for the full list.
Apply a template — if you have an Annature template that matches the document, apply it to auto-place the fields. This is the fastest way to send if you're regularly sending the same type of document.
Adjust recipients — add additional recipients (e.g. a partner who needs to review, or a witness), reorder signing, or update contact details if anything needs to change.
Add a message — include a personalised message that goes to recipients in the email notification.
Once everything looks good, click Send envelope.
If your client needs to sign multiple documents at once — for example, a tax return alongside an engagement letter — you can select multiple documents in FYI and send them as a single Annature envelope. The recipient signs once and gets the whole pack at the end.
This is particularly useful for:
Tax return packages with cover letters or fee disclosures
Engagement letters bundled with privacy notices or terms of service
Family or trust groups where multiple documents need to be signed together (see Document Permissions for managing what each recipient sees)
Once the recipient has completed signing:
The signed document is automatically synced back to FYI and filed against the original client.
The certificate of completion is synced back as well, if you've enabled the Import signing certificate option in your FYI settings.
The signed document is assigned to the FYI user who sent it, if you've enabled Assign documents to individual users in your FYI settings.
See Connecting to FYI for details on those settings and why we recommend enabling them.
Recipient details come from FYI. If the contact details on the FYI client record are incorrect or missing, you'll need to update them in FYI (or adjust them in Annature before sending).
Field placement happens in Annature. FYI hands off the document to Annature for preparation — fields aren't applied automatically unless you use a template.
Signing happens in Annature. Recipients sign through the standard Annature signing experience, then the signed file is pushed back to FYI when complete.
You can still cancel or recall an envelope from within Annature if anything needs to change after sending. See Recall an envelope.
