What Happens to a Deleted User’s Envelopes and Verifications?

Envelopes and verifications remain in your organisation even after a team member is removed.

When a team member leaves your organisation or their access is no longer required, it’s important to know what happens to the envelopes and identity verifications they’ve created.

With Annature, you never lose visibility or control — even if a user is deactivated or removed.

Your Data Always Stays in Your Organisation

Deactivating a user does not delete any of their work.

All envelopes, identity verifications, audit trails, and activity logs remain securely stored in your organisation’s account.

This includes:

  • In-progress envelopes
    These continue without interruption. Recipients can still sign, and you can still manage or monitor them.

  • In-progress identity verifications
    These remain active and can be completed as normal.

  • Completed envelopes and verifications
    Nothing changes — the history, documents, and status remain exactly as they were.

Annature will still send an email to the deactivated user because they were the ones who initiated the request originally. The expectation from Annature here is that when a team member is deactivated because they have left your organisation, their inbox will continue to be monitored for a period of time.

Annature keeps your organisation’s data intact, ensuring business continuity even when team members come and go.

You Always Keep Visibility

Even after a team member is deactivated, you maintain full transparency over the envelopes and verifications they’ve sent.

You will still be able to:

  • View who created or sent an envelope

  • See their name in audit logs and activity history

  • Track their documents and signing activity, exactly as before

No information is lost, and your compliance trail remains complete.

Filter by Deactivated Team Members

If you need to review or manage documents previously handled by a former team member, Annature makes this easy.

You can filter your dashboard by deactivated team members to quickly surface:

  • Envelopes they created

  • Identity verifications they initiated

  • Any outstanding actions still in progress

This helps you maintain oversight and seamlessly reassign or follow up on anything left unfinished.

Even as your team changes, Annature ensures your organisation’s data, audit history, and workflows remain fully preserved — so you can continue working with confidence and clarity.
